What happens when…

Order has been ‘returned to sender’

It is the buyer’s responsibility to keep an eye on their tracking information. If the item(s) have attempted delivery but then get returned to us, we will happily arrange for the item(s) to be shipped again but you will be charged for shipping again and there is a £5 admin charge.

Damaged or wrong item

In the event of any issues with your order, please contact us and we will rectify immediately.

We will only be able to refund or replace the items within 30 days of purchase. If there are problems after this time, then please contact us and we will see what can be done.

My order is saying ‘delivered’ but I haven’t received it.

Please check with your neighbours and local post office, as 9/10 times it has been left with a neighbour or is at the post office. If you have checked all obvious neighbour’s and local post office, and still no sign of your delivery, please contact us.

CLASSES

For Studio classes

You are welcome to use our mats, props and equipment. However, if you would prefer to bring your own, please do! 
We have some for purchase at our online shop, available here.

Class Etiquette

Do take your spot in one of the spaces in the room. Pease leave coats, bags and belongings hung up or on the storage cubes at the side of the studio.

If you’re unable to make a class or running late

If you know you are unable to make your class, email or text us as soon as you know at hello@petalsandpilates.co.uk or 07703673875 so we can make room for others to attend the class.
PLEASE email or message - do not contact us via Instagram to let us know!

If you know you are able to make your class but are simply running late, do contact us with the email or number above if you want us to hold the space for you. Please note that we try our best to ensure you get your class spot, but sometimes if you are running late and for early morning or late night classes where the door is locked, we cannot be responsible if you do not manage to attend on time.

If you’re new to exercise and want to check this is the class for you

Pilates is definitely trending and I am seeing an abundance of new students join the studio’s. All of my classes are mixed abilities as there are various layers and modifications that I give students based on where they are up to in their practice.

Don’t fear if you have never practiced before, Petals and Pilates classes are inclusive and dynamic, you’ll be given many cues and adjustments throughout classes so you know you are moving correctly and in the right alignment.

If you’re injured

You know your own body better than anyone else.

If you have a serious injury I would encourage you seek a medical professions clearance before joining any classes, just so you know you are not making the injury worse.

If you are recovering from an accident or injury and feel ready to exercise, please make sure you inform Charlotte ahead of the class so that she can proactively provide you with variations to help support your injury and get a better grasp of the situation and physical impact.

If you are pregnant or recently had a baby

I am Pre & Postnatal qualified so you are in safe hands. Depending on how the pregnancy is going/went for you, I would encourage that you obtain sign-off from a doctor/physio to get the green light to exercise.
I offer 121 Prenatal & Postnatal classes so if that’s something you would like to explore further please get in touch.

POLICIES

Class Policy 

Do turn up early for your class as we start on time.
If you are not here for the class but have booked on, the payment will still be taken or you will use one of your class passes as though you have attended.

Please see below for our contact details if you need to ask us to hold or move a space for you.

Please turn up with enough time to enter the studio, change, and be prepared for your class for the class start time.
Please note that arriving on time is your responsibility and we cannot be faulted for your personal extenuating circumstances.

Please note on occasion the door may be locked once class time has begun for security and safety purposes.
If you are not on time you may run the risk of the door being locked. Please ensure to make your class you arrive early, in time for the start time of your class.
Please understand that we are not responsible if you are late for your class start time.

Class Cancellation Policy

If you have prebooked and paid for a class and cancel within 6 hours of the class happening then the full payment or class pass will be taken.

In the event of you cancelling before the 6 hour window you will receive a full refund.

Retreat Cancellation Policy

In the event of a situation happening and you need to cancel your retreat booking, please contact us as far ahead as possible so that we can offer the space to someone else.
We cannot offer any refunds to your deposit or the remainder of your retreat payment once your booking is made.
Please make sure you have made necessary arrangements to ensure you can attend. However if you can't attend and if we / you can find someone to fill the space in your place, we can offer you a partial refund. See more in detail below.

Please note that full payment for your place on the retreat is due 10 weeks (by 1st of February) before the retreat start date.
We will be in touch with you to take payment.

For cancellations:
• Please note that the retreat deposit is not refundable once paid.
• 60 days or more beforehand, the balance is refunded but the deposit (10%) will be retained.
• In any other circumstances, full payment for your place will be taken as though as you have attended.

If we need to cancel the retreat:
We have very rarely done this, with the exception of Covid19 and being forced to cancel. However, should we need to cancel the event for any unforeseen circumstances, we will let you know as far ahead as possible and offer a 100% refund.  

Cancellation Policy for Workshops 

We have a 7 day cancellation policy for workshops. If you are unable to attend, please cancel 7 days before your workshop is due to start. After the 7 day window, the booking is charged as though you have attended.

Cancellation Policy for Courses 

We have a 7 day cancellation policy for courses. If you are unable to attend, please cancel 7 days before your course is due to start. After the 7 day window, the booking is charged as though you have attended. Please ensure you can attend all course dates listed. We cannot swap out any course dates missed with other course dates or for classes on the schedule.

Cancellation Policy for 1:1 Sessions

For 1:1 private sessions and massages, we have a 24 hour cancellation policy. Any bookings cancelled within the 24 hour window will be considered a late cancel and charged. Please get in touch before 24 hours of your appointment time if rescheduling.

Sales Policy 

Please note that all class passes are final sale and your responsibility to use within the given timeframe of each pass (12 months).
We cannot be responsible for any unused classes on your pass after the timeframe has ended. If you have booked and cannot attend, we have a 12 hour cancellation window, after which your class will be recorded as if you attended if you did not Early Cancel your reservation.

As part of our ongoing commitment to act ethically, professionally and wholly within the legislative requirements of the General Data Protection Regulation (GDPR) 2016, this Privacy Policy sets out how we will use your Personal Information.

Collection and processing of personal information

We collect data that our clients have provided us to inform them of updates and class information.

This information specifically includes:

name, email, contact number, health history, and next of kin contact details in an emergency.

By submitting Personal Information to us via this website, or directly/unsolicited (e.g. via email or post) you are agreeing to the Terms set out in this Privacy Policy. If you do not wish us to use your Personal Information, please do not submit any Personal Information to us through this website or any other route which references this Privacy Policy.

By accepting the Terms set out here, you authorise us to use your Personal Information to send you email and/or SMS messages or marketing materials by post regarding our services, including Pilates, Yoga, Wellbeing and Lifestyle Shop information. You may opt out of receiving such messages at any time through the unsubscribe link at the foot of any message, or by contacting us at hello@petalsandpilates.co.uk.

Data Security

Keeping your Personal Information safe is important to us. All Personal Information is stored securely, electronically, and all reasonable precautions are taken to prevent loss and unauthorised use. However, whilst we use all reasonable measures we cannot guarantee the security of your data if sent via the internet..

Disclosures

Petals and Pilates Limited may disclose Personal Information to third parties in the following circumstances:

(1) We may disclose Personal Information to the emergency services in the event of an emergency or accident.

(2) We will disclose Personal Information to retreat and workshop partners that would need to be aware of any health issues or concerns.

Your Rights

If you wish to view, correct or remove any of your Personal Information that we hold, or if you have any other questions in connection with the processing of your Personal Information, please contact the Data Controller by email at hello@petalsandpilates.co.uk.
We reserve the right to take reasonable steps to confirm your identity before making any disclosure of information, which we will do within a reasonable timeframe.

Amendments

We reserve the right to make changes to this Privacy Policy from time to time. 
Any changes will appear on this web site, and we will notify you of any changes using contact details we hold for you.
